Job Title: <\/b>Montvale Administrative Coordinator<\/p>

Classification:<\/b> Part-Time<\/p>

Program\/Facility:<\/b> Montvale Springs<\/p>

Accountability: <\/b>CEO<\/p>

Job Summary: <\/b>Coordinates the day-to-day responsibilities at Montvale Springs including, but not limited to administrative support for external user groups and Harmony led events at Montvale Springs, general needs related to invoicing and ordering supplies, prospective client tours, scheduling, and coordination of paperwork for new and returning groups as well as provision of on-site and on-call support.<\/p>

Essential Functions:<\/b><\/p>

Montvale Administration:<\/b><\/p>

Responds to inquiries about Montvale Springs within 24-hr. of initial contact;<\/p>

Schedules and leads property tours;<\/p>

Assists Harmony staff in scheduling internal camps and other activities;<\/p>

Maintains the Montvale Springs calendar and enters all pertinent internal and external user group information in the body of the Outlook calendar event;<\/p>

Completes, distributes, and secures necessary paperwork and invoices for user groups as well as Montvale Springs events as needed;<\/p>

Puts together welcome packets and provides on-site orientation for external user groups when they arrive on property (also at departure as able and appropriate) to include, but not limited to expectations of users during their stay and prior to departure;<\/p>

Performs and documents pre-and post-stay inspection for all facilities utilized by both internal and external user groups and ensures an adequate supply of basic items are stocked (and restocked if needed) to include toilet paper, soap, and paper towels in the lodge, lower bathhouse, and cabins as well as clean towels in the lodge kitchen;<\/p>

Primary responsibility for responding to needs, questions, and\/or concerns of user groups when they are on site. If unavailable for any reason, prior arrangements should be made with CEO and Property Manager to provide coverage;<\/p>

Facilitates the ordering, dissemination, and restocking of needed supplies;<\/p>

Coordinates with Harmony leadership regarding requests for facilitation of ropes course and\/or climbing tower;<\/p>

Responsible for securing lifeguards for user groups and Harmony led events at Montvale Springs;<\/p>

Schedules cleaning crew after Harmony camps, events, or external user groups to include the general cleaning of Clayton House, Thompson House, and other areas as needed;<\/p>

Coordinates and submits all contractor invoices (i.e. cleaning crew, lifeguards) to Harmonys fiscal team;<\/p>

Other tasks as needed and requested by direct supervisor.<\/p>

Job Specifications: <\/b><\/p>

Minimum of High School diploma or GED;<\/p>

Excellent written and verbal communication skills;<\/p>

Ability to use basic computer programs including Microsoft Suite and Google Suite;<\/p>

Ability to understand and follow verbal and written directions;<\/p>

Possesses the ability to work well under pressure and within set timeframes;<\/p>

Ability to work independently as well as within a team;<\/p>

Ability to communicate effectively with individuals in person or via telephone, and email;<\/p>

This position is based at Montvale and a remote office location and is limited to 10-25 hours of work per week; position requires occasional to frequent (seasonal) weekend work;<\/p>

A valid drivers license, automobile insurance, and reliable transportation are required;<\/p>

Ability to lift 50 pounds;<\/p>

Must clear all Harmony required pre-employment background checks. No person shall be employed who has been convicted of any offense against another person;<\/p>

Participates in Harmony staff trainings to include, but not limited to completion of mandatory trainings to support compliance with COA standards and professional best practices;<\/p>

Willingness to contribute to discussion in team meetings and other groups.<\/p>

Job Type: Part-time<\/p>

Pay: $20.00 per hour<\/p>
